Sales Conditions
Please note that following “Sales Conditions” are an
addendum to our “General Sales Conditions”, which
are stipulated overleaf on our invoices and can be requested at all
times.
1. Optional
reservation
A provisional optional reservation can be obtained for a period of
a maximum of 30 days after
written request. The actual duration of an optional reservation is
however considered case by case, taking into
account the actual arrival date, among other issues. An option
expiry date can always be extended by mutual agreement.
2. Advance payment
An advanced payment (deposit) of 30% of the total value of
the services requested is required. The deposit must be
transferred to our account 8 weeks prior to the
arrival date at the latest, otherwise your
reservation will automatically be cancelled.
In case the participants each pay individually, the meeting
organiser must provide a guarantee deposit of 30% of the total
value of the sevices requested or provide a creditcard
guarantee of each individual participant. One night charge
will be deducted from the credit card in order to guarantee the
reservation of each participant.
3. Payment of the
balance
Unless otherwise agreed in writing, the balance amount must be
settled in full, prior to
departure of all participants.
4. Programme details / List of
participants / Meeting Room and Food & Beverage
requirements
The meeting organisers should forward, in writing, all programme
details, a rooming list, all meeting and food and beverage
requirements 7 days prior to arrival at
the latest.
5. Double
reservations
The client will refrain from concluding several agreements with
different hotels for one and the same meeting. Non-compliance with
this gentleman’s agreement gives the hotel the right to cancel your
meeting reservation, without damage compensation.
6. Cancellation
conditions
Partial or full cancellation of the number of participants, will
oblige us to charge you for the following cancellation cost:
> Cancellation - more than 8 weeks prior to arrival - no charge
> Cancellation - between 8 and 4 weeks prior to arrival - 30% of
the total amount due (= deposit)
> Cancellation - between 4 and 2 weeks prior to arrival - 50% of
the total amount due
> Cancellation - between 2 and 1 week prior to arrival - 75% of
the total amount due
> Cancellation - less than 1 week prior to arrival - 100% of the
total amount due
